Oelwein Public Library Board Minutes December 12, 3013

The Oelwein Public Library Board of Trustees held its regular board meeting on Thursday, November 12, 2013 at 5:30 p.m. at the library.

 

Present: Kerns, Sherrets, Gilson, Ingersoll, Leo, and Macken

Absent: Berryman

President Gilson called the meeting to order.

Kerns moved to accept the agenda and the minutes as written. Seconded by Ingersoll. Motion carried.

 

Paul Manske and Jared Stewart presented their drawings and quotes for an outdoor reading area based on specifications given by the library board. Manske's proposal is for $25,000. Stewart's proposal is for $24,994.83. Both businesses would be absorbing costs in order to meet the library board's maximum project budget limit. The library board will meet December 18 at 5:30 p.m. to review both proposals and make a final decision.

Sherrets left the meeting.

No correspondences.

The board reviewed and discussed the Trustee Training on Open Records and Confidentiality.

 

Friend's Report:

  • A new sink and faucet has been installed in the meeting room
  • Friends decorated the library Christmas Tree and purchased Poinsettias for the library.
  • Participation in Old Tyme Christmas included Festival of Trees and selling 200 bags of popcorn.
  • Connie Kerns donated 10 stained glass ornaments for the Friends to sell. $300 was earned from this donation.

Director's Report:

  • CD cases have been purchased for shelving audio books with cardboard cases that have become worn.
  • Lori Hahn will be learning how to catalog materials using our circulation system.

 

Bills were reviewed. Leo moved to accept the bills. Seconded by Ingersoll. Motion carried.

 

Larson Construction and Oelwein Glass inspected the windows above the main entrance to determine the cause of the leaks. No report has been received as to the conclusion.

The foundation issue was inspected. No report has been received as to the conclusion.

 

Since the library has incurred a huge expense in replacing failing ballasts, the Director called Ken's Electric and Steffen Electric to evaluate the current light fixtures and give options for more efficient lighting. After a number of weeks without receiving a response, upon recommendation of another business's electrician, Macken contacted The Retrofit Company from Hudson. Chris Wendling came within the week and thoroughly examined all lighting and evaluated costs such as KWH rates, hours open, and maintenance and repair costs. TRC works with Alliant Energy for custom rebates. The library's current fixtures could accommodate other fluorescent bulb sizes or LED's. Chris will give a presentation on options, costs, and savings at the next library board meeting.

Kerns left the meeting.

Macken ordered a replacement lens through Crescent Electric for $160.00 plus freight for the vandalized outdoor sconce.

 

The library board reviewed the quote from Iowa Prison Industries for a mobile workstation for $959.20. Leo moved to purchase the workstation. Seconded by Ingersoll. Motion carried.

 

Computer quotes were reviewed for 4 desk top computers.

Leo moved to purchase the computers from Bytespeed. Seconded by Ingersoll. Motion carried.

 

Laptop quotes were reviewed.

                Community Digital declined

Leo moved to purchase the laptop from Bytespeed. Seconded by Ingersoll. Motion carried.

 

The library board reviewed quotes for an HP Officejet Pro X551dw color printer.

Ingersoll moved to purchase the color printer from CDW-G. Seconded by Leo. Motion carried. Large capacity ink cartridges will be purchased: Black with 9200 page yield for $108 and Color with 6600 page yield for $106.

 

The Job Description for the Library Page was reviewed. Leo moved to accept the job description as reviewed. Seconded by Ingersoll. Motion carried.

Ingersoll left the meeting.

 

The Friends of the Library and Oelwein Community School will co-host Business after Five on February 12 at the library. The IPTV Ready for School iPad Lab and Husky Adventure Camp will be highlighted. The school will provide soup and cookies and the Friends will provide homemade bread, condiments, beverages, and paper products. The library received 3 iPads, a rug, and promotional materials. The school received books and Martha Speaks curriculum. Two Oelwein facilities will receive learning centers which will include books and a flat screen TV tuned-in to PBS Kids.

 

The next meeting will be Thursday, January 9 at 5:30 p.m.
