Oelwein Public Library Minutes September 13, 2016

The Oelwein Public Library Board of Trustees held its regular board meeting on Tuesday, September 13, 2016 at 5:30 p.m. at the library.

Present: Mars, Gilson, Berryman, Kerns, and Macken

Absent: Ingersoll, Christensen

President Berryman called the meeting to order.

Gilson made a motion to approve the agenda. Seconded by Mars. Motion carried.

Gilson made a motion to approve the minutes as written. Seconded by Mars. Motion carried.

Correspondences: Jared and Veronica Stewart sent a business Thank You note.

The board reviewed the first section of library standards for the physical space of the library.

 

Director’s Report:

  • The library will host a traveling exhibit on WWI in April of 2017. A $1,800 stipend will be used for related programming.
  • The library received state accreditation which will be valid through 2020.
  • The Barn Quilt Guy will be giving a program on September 19 at 6:30.

Friend’s Report:

  • Appreciation Tea is September 15 at 2:00.
  • Annual Meeting and election of officer is September 20 at 1:30.

 

Bills were reviewed. One of the hard drives in the server failed and was replaced. The actuator controlling the fresh air damper in the air handling unit of the HVAC was not working and was replaced. Gilson made a motion to accept the bills. Seconded by Mars. Motion carried.

 

The two quotes for repairing the gutters were reviewed. Kerns will contact both companies and discuss the items to be addressed and the cost. He will make a recommendation at the next library board meeting.

 

Attic Assessment was tabled since Ingersoll was absent. Ingersoll has been in contact with Miller Construction.

 

Josh Ehn, school principal, talked to the board about using the library as an ALICE Reunification point for children. School and emergency personnel would use the library as a place for parents and guardians to pick up their children in case of an emergency situation where the school would be evacuated. The school would train library staff and conduct a drill at least annually. Gilson made a motion to allow the school to use the library as a reunification point. Seconded by Mars. Motion carried.

 

The director asked permission to close the library on Thursday, October 13 so that all librarians could attend the Iowa Library Association conference in Dubuque. Kerns made a motion to close the library so that library staff could attend the library conference. Seconded by Gilson. Motion carried. Patrons will be notified in advance that the library will be closed for staff continuing education.

 

The director requested the use of two vacation days to be used beyond the September 18 deadline. Mars made a motion to allow the director to carry-over two vacation days to be used September 22 and 23, 2016. Seconded by Gilson. Motion carried.

 

The job description for the Library Director was reviewed. Gilson made a motion to accept the policy as reviewed. Seconded by Mars. Motion carried.

 

Mars made a motion to adjourn the meeting.

 

The next library board meeting will be Tuesday, October 18, 2016.
